Vismo has launched a wellbeing function that allows administrators to easily check the overall welfare of their team. Quite often people do not feel comfortable voicing their current welfare. With the wellbeing function, staff can report their wellbeing anonymously which management can use the data from to incorporate better mental health safeguarding for its staff. The report is completely anonymous unless the user specifically requests to be contacted.
How to configure the Wellbeing App
Please note: You can configure Wellbeing at the account level for everyone, or only for a specific group. We will first cover how to configure at the account level. Please scroll down for the group level guide.
Account Level
1) Click on the person icon in the top right corner of the screen.
2) Select Account Settings.
3) Click on Wellbeing.
4) The following screen will be presented. Toggle Change Options to Yes.
5) The options will expand. You are now able to enable reminders and configure a wellbeing check for staff to send an update of their wellbeing status if they have not already done so. The reminder will always be an in-app message.
Toggle Enable Reminders to ON. If you do not wish to set a reminder skip to Point 6)
5.1) The options will further expand.
5.2) Set the Reminder Frequency by clicking on the arrow dropdown. The reminder clock will reset once the user reports their status. The frequency of the reminders will also be dependent on the points 5.3) and 5.4) below.
5.2.1) Daily - The reminder will be sent every day.
5.2.2) Every three days - The reminder will be sent every 3 days and will reset to send another reminder in 3 days time after the user submitts a wellbeing response. If the user submits a wellbeing response on the second day of the 3 day period, a new reminder will be sent 3 days after their last response.
5.2.3) Weekly - The reminder will be sent every week and will reset to weekly from the date that the last wellbeing response was sent by the user.
5.3) Click on the Calendar dropdown and select a specific time you wish the users to be reminded. The time will be their local time. (e.g. If an administrator in the UK sets the reminder at 09:00, a user in France will receive it at 09:00 French time, or 08:00 UK time.)
Please note: If the user sends their wellbeing status before the time set, the reminder will skip to the next scheduled reminder.
5.4) Click on the arrow dropdown and select the days of the week you wish the reminders to be active. If you wish to delete a specific day of the week, just click on X next to the specific day you wish to remove.
Please note: Even if you have set up the Reminder Frequency as Daily (point 5.2)), but have not added Sunday as a Reminder Day, then there will be no reminder on Sundays and the reminder will be skipped until the next scheduled day.
5.5) This how users will see the reminders.
6) This section provides the user with the option to contact someone if they choose a negative status. Click on the dropdown arrow to select the options available. If nothing is selected, the feedback will be anonymised.
6.1) Request Follow-up
When a user selects a negative feedback response, an extra option will appear to request a follow-up. The Helpline Name will let the user know to whom the follow-up has been sent.
Please note: In order to be notified you first need to configure an event, which in this case would be the Wellbeing event. Click here to learn how to do so.
6.2) Call Helpline
Allows the user to call the Helpline Telephone Number selected by you, when the user selects a negative status.
7) After completing the configuration, click Save on the top left.
8) The message below will pop up in the right top corner confirming the update.
Group level
1) Click on the person icon in the top right corner of the screen.
2) Select Account Settings.
3) Click on Group & User Administration.
4) Select the Group you wish to configure until it highlights in blue and click on Edit.
5) Scroll down to the Wellbeing section and click on Edit.
6) The next steps are now the same as the ones shown above for the whole Account. Please see from step 4) onwards for Account level.
