Send a Mass Notification

Vismo Mass Notifications allow organisations to quickly send important information to specific individuals, large groups, or people in particular geographic areas using multiple channels, including SMS, Email, In-App messages, Phone Calls, Slack, and Teams.

To send a Mass Notification, click the envelope icon in the top right corner and select Send Message from the drop-down menu. If these options are not visible, ensure you have the necessary permissions. This will open the Compose Broadcast Message page.

Templates

Templates allow you to preconfigure Mass Notification messages. Click Templates at the top to add a preconfigured message template.

The available templates will be displayed. Select your preferred template and click Select to add it.

The template will automatically populate the Compose Broadcast Message screen. Click Customise to modify any of the template settings for this message only.

General

  • Message – Enter the required message in the text box.

  • Expiry – Specifies how long the message will be available to users. Note: The maximum duration is 1 day.

Message Options 

Message Options allow administrators to add coded response options, enabling employees to quickly and effectively acknowledge and respond to the Mass Notification with their current safety status. Turn the Use Options switch On.

 

This will display the Message Options functions. Click New to add a new message option.

A Message Options box will appear. Enter the required message response in the text box and select the appropriate level for the message: Auto, Positive, Neutral, or Negative.

Repeat this step to add as many message options as needed. Click Delete to remove any message option.

  • Avoid Option Collisions – Ensures that message options do not conflict with each other if multiple Mass Notifications are sent within a short period.

  • Allow Answer to Be Changed – Allows users to change their message response if they have already replied.

Message Send Strategy 

The Message Send Strategy allows you to select how the message will be delivered. Click New to add a message send strategy, then choose your preferred method from the drop-down menu: SMS, Email, Phone Call, In-App, Slack, or Teams.

Add your preferred message strategies and select the order in which the messages should be sent. Notifications can be reordered by clicking the = icon and dragging them into the desired sequence.

Notifications can be sent either simultaneously or in a cascading sequence, which is configured using Delay Before Next Step.

Send the Notifications Simultaneously

To send the notifications simultaneously, make sure the Delay Before Next Step is set to the same time for each message strategy. This ensures that notifications are sent to all channels at the same time.

Cascade the Notifications Through Each Message Channel

Once the preferred channels have been added and ordered, configure the timing by clicking the + and – icons under Delay Before Next Step. When the times differ, there will be a delay of the specified duration before the notification is sent via the next strategy.

For example, an In-App message will be sent immediately, followed 1 minute later by an SMS notification. Five minutes after the SMS, an email will be sent, and finally, 10 minutes after the email, a phone call will be made.

Note: If a user responds via one channel before all notifications have been sent, the notification will not be sent through the remaining channels.

Loop Send Items 

Loop Send Items When On” will continue to send notifications repeatedly until a user responds or the message expires. Turn the switch on to enable looping notifications.

Add Recipients to receive the Mass Notification 

Next to “Recipients”, click on “Add”.

Note: The number in brackets next to “Recipients” shows how many users have been set up to receive the notification.

If you select “User”, a list of available users will be displayed. Choose the users you wish to send the notification to; they will be highlighted in blue. Then click “Select”. Follow these steps to add the required users.

If you select “Group”, all members of the group will receive the mass notification. If you want all team members except a few to receive the message, click “Add” next to the “Excluded Recipients (0)” line and select the users to be excluded from the mass message.

Send the Mass Notification

Once the message has been configured and the required users have been added, click “Send Message” to dispatch the mass notification.

A notification will appear to confirm that the mass notification has been sent successfully. To view the responses, please refer to this article.
